Department of Arts and Culture - 29th Session of the World Heritage Committee 2005

Siyenza Management was awarded the tender for the Event Management component of the 29th Session of the World Heritage Committee Meeting 2005 in December 2004. The tender value amounted to R 9 796 062.90.

Phase 1

African Experts Meeting - Cape Town (15 - 18 Mach 2005)

The purpose of the African Experts Meeting was to allow experts from African countries to prepare for the 29th Session of the World Heritage Committee.

Siyenza Management was solely responsible for all the logistics as detailed below:

  • Sourcing and liaising with the venue;
  • Devising and implementation of a database for RSVP's, inclusive of travel arrangements and accommodation for all International (African and European) delegates;
  • Sourcing and appointing reliable local suppliers for Audio Visual, Interpretation Equipment and simultaneous Interpreters (French /English);
  • Sourcing and collating of all conference collateral (Beaded delegate bags, Beaded folders and pens);
  • Registration of 80 delegates;
  • Evening social functions which showcased South African hospitality (Gordons Bay - Beach Barbeque, Groot Constantia - Wine tasting and Cape Malay cuisine with Afro Jazz as entertainment, traditional dinner at Moyo's);
  • Day excursion to Robben Island to view one of the World Heritage Sites;
  • Transportation to and from social functions and excursion for all delegates; and
  • Chauffeured cars for all VIP's.
Phase 2

29th Session of the World Heritage Committee Meeting - ICC Durban (10 - 17 July 2005)

This is an annual event which is hosted by a different country each year and in 2005 it was the first time the committee met in Sub- Saharan Africa. Delegates participating were invited by UNESCO and comprised of 21 state parties, NGO's, advisory bodies and observers.

Alongside the meeting, which comprised of plenary, bilateral and bureau meeting rooms, was a static exhibition. Siyenza Management worked, in conjunction with the appointed communications company and exhibition company, to design and develop of the brand, logo, marketing apparel and advertising material.

Siyenza Management's responsibilities incorporated the following:

  • Developing a website for the Event with an on-line registration facility (www.29whc.org);
  • Collated RSVP's inclusive of delegate's accommodation and travel arrangements;
  • Registration of 500 delegates;
  • Sourcing and appointing reliable local suppliers for Audio Visual requirements;
  • Sourcing and appointing local bilingual staff (French/English, Spanish/English, Portuguese/English);
  • Sourcing and appointing students to work on the event;
  • Sourcing and collating conference material (delegate bags, folders, pens and documentation);
  • Designing, compiling and printing of the delegate handbook in both English and French;
  • Protocol for the Dignitaries ( Ministers, Deputy Ministers and Heads of State);
  • Liaising with Very Very Big Productions for the opening stage performance;
  • Personalised invites for the opening and closing functions;
  • Opening banquet for 550 guests;
  • South Africa day celebration at Sibaya (African Footprint and Boma Party);
  • Ensuring that UNESCO's freight arrived timeously from Paris;
  • Transportation to and from the ICC and appointed hotels as well as Sibaya;
  • Liaising with ICC regarding all the logistics and catering requirements;
  • Preparation for monthly steering committee meeting to all stakeholders;
  • Liaison with UNESCO in Paris and assistance with all requirements of setting up UNESCO secretariat offices; and
  • A two day excursion for all delegates to either the Drakensberg or St Lucia which form part of South Africa's 7 Heritage sites.
